Videoconferencing Today: Issues to be Aware Of

Videoconferencing is a great way for businesses to connect with one another and grow, but it is not a perfect science just yet. A lot of developments are made every year and things become a lot easier to use and more efficient as time goes on. Yet, you need to be aware of some things that aren't just perfect with videoconferencing today. Paying attention to these things will ensure you get the most out of your conferencing equipment.

1. You can't really make eye contact with those you are conferencing with, especially if you have a set up that includes one speaker and a screen with many people crowded together. Multiple screens of people make eye contact even more difficult.

Eye contact is a natural form of human communication. In fact, many psychologists will tell you that more can be said with your eyes than your lips and vocal chords. Yet, this is one piece of the communication formula that isn't quite established with videoconferencing technology.

While you can be closer than ever imagined to people who are sometimes thousands of miles away, you can't make the direct eye contact that you would be able to make with people huddled directly around you in the same location.

New speakers who aren't used to giving speeches before videoconference screens should be aware of this before they step on the "stage." Some people may need to get used to speaking to people without making any form of direct eye contact.

2. The right set up and location is needed to make sure sound is controlled and effective. Some rooms just aren't designed for good sound reception over a video, so thought has to be put into where equipment is placed and in some cases special sound equipment is needed. Placement of speakers is also a concern.

Sound is extremely important when giving larger videoconferences. This isn't an issue if you are just sitting at home talking with a friend over Skype, but when you are connecting to a room of 200 people through videoconference equipment on a larger scale it is very important.

If your business doesn't employ someone familiar with sound technology, then you will need to spend time doing test runs to make sure everyone can be heard properly on both sides of the conference.

3. Transfer time of sound can be delayed if the equipment is not fast or advanced enough. The type of equipment purchased needs to suit the type and size of videoconference being held. The shorter distance the data has to travel, the less room there is for delay.

If you don't have the best videoconferencing equipment or you aren't using the appropriate equipment for the type of conference being held, there can be some awkward sound delays on one or both ends. This occurs when it takes a bit longer for the sound data to be transferred from one location to another.

If you are ware of this, then it is best to make everyone participating aware of this before you officially begin your conference. Another strategy is to talk in detail with your videoconferencing equipment provider so they can advise you on what equipment is needed.

Of course, human error is still a problem at times with videoconferencing. Someone shy and insecure may not speak loudly or clearly enough to be heard appropriately while someone else may need to learn how to use their microphone. It just takes some getting used to!
